This privacy policy is designed to give you a greater understanding of how we collect, use, disclosure and otherwise handle personal information you provide as a member of our guild, through our website or any other form of communication you may have with us. References to ‘Bay Quilters’, ‘we’, ‘us’ or ‘our’ are references to Bay Quilters Inc (as defined in the Associations Incorporation Reform Act 2012 (Vic).

In becoming a member of Bay Quilters or accessing the Bay Quilters website or otherwise providing us with your personal information, you agree to the below privacy policy conditions and consent to the collection, use and disclosure of that information in accordance with this privacy policy and the Privacy Act 1988 (Cth) as amended (including the Australian Privacy Principles) and other applicable privacy laws.
Personal information we collect from members and website visitors
Personal information is any information about an identified individual or an individual who is reasonably identifiable, whether the information is true or not and whether the information is recorded in a material form or not.
We collect limited personal information from each Bay Quilters member at time of joining and/or when updated by a member. This membership information is limited to your name, contact information for you (name, address, email address and phone number) and your emergency contact (name and phone number) and your month of birth.
Collection of personal information
We collect personal information that is necessary for our group activities and promotion of the group. We may do this in the following ways:
- directly from you when you join using a form that you fill in and provide to us
- logging in to our website when you may update your contact information
- through our website as a non-member (visitor).
If you receive information from Bay Quilters, it is because you are a member, have asked to hear from us, agreed to join our mailing list, or a friend or colleague has requested information on your behalf. If you wish, at any time you can be removed from our database.

- to outline our local and activities to prospective and existing members

Overseas disclosure of information
Bay Quilters does not store personal information outside of Australia and does not disclose personal information to any third parties out of Australia.

Bay Quilters treats any personal contact details collected as a result of membership or enquiries in the strictest confidence. We will never make your email address or details (name, address and phone number) available to any third party organisation without your prior consent.
We may disclose your personal information in certain circumstances, such as where we are required or authorised by law or where you have consented to us doing so. When making such a disclosure we will take reasonable steps to ensure that the recipient is bound by privacy obligations.
We will take all reasonable precautions to safeguard your information from loss, misuse, unauthorised access, modification, disclosure or destruction. The steps we take to secure personal information include protection measures (such as firewalls and anti-virus software), and restrictions on access to our database.
Where we no longer require your personal information for a permitted purpose, we will take reasonable steps to de-identify or destroy it.

For members, we also store the personal information you provide in your user profile. All members can see, edit, or delete their personal information (except their username) at any time. Website administrators can also see and edit that information.
